Your privacy is important to us. It is Jarvi’s policy to respect your privacy and comply with all applicable laws and regulations, including the GDPR and Quebec’s Law 25 (LPRPSP), regarding any personal information we may collect about you, whether through our website, app, extension, or any other service we operate.

Information We Collect

The data you enter during the application process or when creating a job alert (contact details, experience and education, attachments, responses to pre-screening questions). Your IP address. Cookies, which help us understand access to and usage of our services.

Where We Store Data

Data is stored on AWS (Amazon Web Services) servers in London, and is GDPR compliant: https://aws.amazon.com/compliance/gdpr-center/.

For users located in Quebec, this storage constitutes a communication of personal information outside Quebec within the meaning of section 17 of Law 25. Jarvi has conducted a Privacy Impact Assessment (PIA) confirming that the data benefits from adequate protection.

Information Collected Automatically

Certain information - such as IP address and/or browser and device characteristics - is collected automatically when you visit our services.

This information does not reveal your specific identity (like your name or contact information), but may include details about your device and usage, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, device name, country, location, information about how you use our services, and other technical information.

This information is primarily needed to maintain the security and operation of our services, as well as for our internal analytics and reporting. Like many companies, we also collect information through cookies and similar technologies.

How Do We Use Your Information?

  • Surveys: Jarvi may also reach out to you through surveys to better understand your feedback on your experience as a user and on current or future features of Jarvi.
  • Improving our services and products: Jarvi may use Personal Data to enhance and develop its services and products as necessary.

In this case, we are the data controller.

Please note that when you apply for positions with one of our clients (“Client”), our Client (the recruiter or hiring manager) may consider your candidate profile for all their opportunities and may use all Jarvi tools to track, manage, and make decisions. In this case, the Client is the data controller, and Jarvi acts as the data processor on behalf of the Client.

Jarvi is not a recruitment agency. We only provide talent acquisition technology to our Clients and offer our Services for your benefit as mentioned above.

Since Jarvi offers you real choice and control over the use of your Personal Data and aims to build a trusting relationship with you, your consent is the legitimate basis for processing your Personal Data.

You can withdraw your consent at any time by withdrawing your application or contacting us at rgpd@jarvi.tech.

Use of Artificial Intelligence

In accordance with Articles 13(2)(f) and 14(2)(g) of the GDPR, we inform you that Jarvi integrates artificial intelligence technologies to assist recruiters (our Clients) in their recruitment process:

  • Relevance indicator: A qualitative indicator (low/medium/high) may be generated to signal to the recruiter the degree of match between your profile and a position. The logic involved: your skills, experience, and qualifications are compared against the job requirements. This indicator is purely informational — it does not rank candidates, does not filter any application, and does not lead to any automated decision. The recruiter (data controller) always retains final decision-making authority over your application.
  • Interview summaries: Interview recordings may be transcribed and summarized by AI to facilitate follow-up by the recruiter. No evaluation of your candidacy is performed by this process.
  • CV parsing: Your CV may be automatically analyzed to extract structured information (experience, education, skills). This is a purely technical process that produces no judgment on your application.

Safeguards (in accordance with GDPR Article 22):

  • No decision producing legal effects or significantly affecting you is made in a fully automated manner (GDPR Art. 22; Law 25 s. 12.1). A human recruiter systematically intervenes before any decision concerning your application. Any write action proposed by the AI requires explicit human approval (Human-in-the-Loop).
  • Data transmitted to AI providers (Anthropic, Google Gemini, AssemblyAI) is not retained after processing and is not used to train models.
  • Direct identifiers (last name, email, phone) are not transmitted to AI services when not necessary for processing (data minimisation principle, Art. 5(1)(c) GDPR).

Your rights regarding automated processing:

  • You may request human intervention in the assessment of your application.
  • You may express your point of view and contest any decision influenced by automated processing.

How Long We Keep Your Personal Information

Jarvi retains your Personal Data only for as long as necessary to fulfill the purposes outlined in this privacy policy.

Do We Collect Information from Minors?

We do not knowingly collect data from children under 18, nor do we market to them.

By using the Services, you affirm that you are at least 18 years old or are the parent or guardian of a minor and consent to the minor’s use of the Services. If we become aware that personal information has been collected from users under 18, we will deactivate the account and take reasonable steps to promptly delete such data from our records.

What Are Your Privacy Rights?

Under the GDPR (European Union), Quebec’s Law 25 / LPRPSP, and other applicable data protection legislation, you have the following rights:

  • Right of access: You may request access to your personal information and obtain a copy.
  • Right to rectification: You may request the correction of inaccurate or incomplete personal information.
  • Right to erasure: You may request the deletion of your personal information.
  • Right to data portability: You may request to receive your personal information in a structured, commonly used format.
  • Right to object / withdraw consent: You may withdraw your consent at any time by withdrawing your application or contacting rgpd@jarvi.tech. Under Law 25, this withdrawal takes effect upon receipt.
  • Right to lodge a complaint: Depending on your jurisdiction, with the CNIL (France), the CAI (Quebec: https://www.cai.gouv.qc.ca), or any other competent authority.
